How to Take Care of Out-of-Town Wedding Guests: A Checklist
Updated November 2026
Out-of-town guests spend real money and vacation days to celebrate with you. You do not owe them a free trip, but a little planning makes their weekend easier and your inbox quieter. Work through this checklist from the save-the-dates onward.
Six to twelve months before
- Choose a destination guests can reach with one connection at most, if you can.
- Reserve a hotel room block at two price points.
- Send save-the-dates early: eight to twelve months for destination weddings.
- Launch your wedding website with travel information and a things-to-do section.
Three to six months before
- Share the full weekend schedule so guests can book flights around it.
- Publish a guest guide with day plans, restaurants and activities. GuestDaysOut builds one for free.
- Suggest one or two group activities and a date for each. See our group activity ideas.
- Arrange transport for the wedding day: shuttles from the main hotels.
The final month
- Check every restaurant and activity you recommend is still open.
- Print itinerary cards with a QR code to your guest page.
- Prepare welcome bags. See welcome bag ideas.
- Assign a friend or planner as the go-to contact for guest questions.
During the weekend
- Welcome event on the first evening.
- Clear shuttle times, repeated in the guest chat.
- A farewell brunch so nobody leaves without saying goodbye.
What guests appreciate most
- Knowing the schedule early.
- Easy transport to the venue.
- Good recommendations for their free time.
- Options at every budget.
- Information in their own language.
